This page explains how HostAccent collects, uses, shares, protects, and retains personal data, together with the choices available to you.
Who is responsible for your data
Hostaccent Limited is the controller for personal data collected through this website and for account, billing, security, and support administration. The HostAccent entity shown on an order or invoice may also be the relevant controller for that service. HostAccent may process hosted content on a customer's instructions as a service provider or processor.
Privacy questions, data-protection complaints, and rights requests can be sent to [email protected]. Include enough information for us to verify your identity and locate the relevant account or support request.

- Account data such as name, organisation, postal address, email, telephone, and login records.
- Billing and transaction records; payment card details are normally handled by payment processors rather than stored in full by HostAccent.
- Service and support data such as orders, invoices, tickets, chat records, configurations, and migration information.
- Support-form data such as your name, email address, request context, affected service, technical description, source page, and any optional access details you deliberately provide.
- Technical data such as IP address, device/browser data, timestamps, security events, cookie identifiers, and diagnostic logs.
- Anti-abuse data processed through Cloudflare Turnstile, such as browser and device signals needed to distinguish legitimate visitors from automated submissions. Turnstile does not receive the contents of your support message or form fields from HostAccent.
- Marketing preferences, newsletter consent, and engagement records.
- Content you choose to host or submit through the services.
Why we use data and our legal bases
- To answer enquiries, create and manage support requests, investigate technical issues, and provide requested services — necessary to take steps at your request, perform a contract, and pursue legitimate operational interests.
- To prevent fraud, abuse, attacks, and account compromise — legitimate interests and legal obligations.
- To meet tax, accounting, sanctions, law-enforcement, and regulatory duties — legal obligations.
- To send requested newsletters and optional marketing — consent, which you can withdraw at any time.
- To establish, exercise, or defend legal claims — legitimate interests and applicable law.
Who receives data
We share only what is reasonably needed with infrastructure providers, data centres, registries, certificate authorities, software licensors, payment processors, fraud-prevention services, support and email systems, analytics providers, professional advisers, and public authorities where legally required.
Cloudflare processes limited browser and security signals for Turnstile bot protection. Support requests are recorded in HostAccent's support systems, including its self-hosted WHMCS installation. Optional access details are not intentionally included in ordinary ticket-message text or marketing systems.
Providers must handle data under contracts and appropriate confidentiality and security obligations. We do not sell personal data.

Hosting and support are global, so data may be processed outside your country. Where required, we use recognised safeguards such as adequacy decisions, standard contractual clauses, or equivalent contractual and technical measures.
Back to topHow long we keep data
We retain account and service data while your account is active and for a reasonable period afterwards for support, security, tax, accounting, dispute, and legal needs. Retention varies by record type and applicable law.
Support correspondence may be retained for continuity, security, dispute handling, and service records. Optional access credentials are collected only for the relevant support task, are treated separately from ordinary ticket correspondence, and should be removed or rendered unusable when they are no longer needed. Customers should use temporary, least-privilege access and rotate or revoke it when the work ends.
Backups and security logs rotate on operational schedules. Data may remain in protected backups until the relevant copy expires, unless the law requires longer retention.

We use access controls, encryption in transit, role-appropriate access, monitoring, logging, backups, network protections, and staff procedures designed to protect data. Sensitive access details should be limited to authorised support personnel and kept separate from the ordinary problem description. No online service can promise absolute security, so customers must also protect credentials, applications, and local copies.
If a personal-data incident requires notice, we will notify affected customers or authorities as required by applicable law.

Essential cookies support security, sessions, preferences, and core site functions. Analytics or marketing technologies should be used only where permitted and, when required, after consent.
Cloudflare Turnstile helps protect forms from automated abuse by processing limited browser and device signals necessary for the security check. HostAccent validates the resulting token server-side; Turnstile does not access the support message, credentials, or other form entries.
You can control non-essential cookies through available consent controls and browser settings. Blocking essential cookies may prevent parts of the client area from working.

- Ask for access, correction, deletion, restriction, or a portable copy where applicable.
- Object to processing based on legitimate interests and withdraw consent without affecting earlier lawful processing.
- Opt out of marketing using the link in each message.
- Complain to your local data-protection authority.
- If HostAccent does not resolve a UK data-protection concern, you may complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint/.
Children
Services are intended for people able to enter a binding contract and are not directed to children. If you believe a child provided personal data without appropriate authority, contact us.
